No silver bullets, but a simple format can be useful for the person taking the minutes. The attached format is used to organize the  published agenda items for each meeting. The note taker simply uses the format to collect an accurate representation of the discussion, targeting key items and votes. An important item is to list the member(s) that will report on the subject at your next meeting. This defines an important area of responsibility for each item. The minutes are then voted on to accept of amend at the HC Meeting. This is also used to keep track of attendance. This format is easy to use, as a minutes taker and boils down the elements for members to review.

The typed draft is then sent to the members prior to the meeting via email. The piece is then voted on to accept or amend the notes at each meeting. This simple form deals with the key elements for each meeting. This can simplify the process. Hope this helps.

  Are there local historical commissions who do other than take longhand notes of meeting minutes? What are, or are there.. new technologies for doing it another way? This is always a job that needs help!
