Best Buy, Target, Walmart, Costco, Circuit City etc. distribute a very
good and relatively inexpensive digital pen ($79.99) called the Fly
Fusion Pentop Computer. It is intended to help kids with their homework
but is great for anyone tasked with meeting minutes and note taking.
You do have to write on special digital paper (notebooks are about $4
each) but that is your only additional investment. Here is the website
(www.flyworld.com). It is PC and word compatible and immediately
translates your (neatly formatted) handwritten notes into a word file.
You can edit from there or reformat the pages if needed - no retyping.
[The pen does more that will appeal to those with homework but I'm only
familiar with the great note-taking support that it offers to adults.]
It is stable and reliable and a lightweight alternative to bringing your
computer to meetings.

Are there local historical commissions who do other than take longhand
notes of meeting minutes? What are, or are there.. new technologies for
doing it another way? This is always a job that needs help!

Lately, as chair, I've been handing out my laptop and having people
type minutes rather than handwrite them. I get them a lot faster, that
way.

The Clerk of Amherst's Historical Commission takes the meeting notes on
her laptop and then refines them into printed minutes which are
reviewed, approved, and archived. Usually she circulates the draft
minutes via email prior to the next meeting, then staff provide hard
copies at the meeting. Amendments made during approval are noted on her
laptop and final versions sent to staff.

Minutes
I e-mail a formal agenda to each Commission member a few days before
each
meeting. Our secretary member downloads it to his lap top, brings the
laptop
to the meeting and fills in a summary of the discussion of each topic as
we
go. This method means that when we adjourn he has the minutes done with
onlt
minor editing needed before we see them at the next meeting.
The key to this process is to have a formal agenda in a consistent
format,
including a section on unfinished topics for later discussion and action
-
plus a willing secretary member.
