JOB DESCRIPTION TITLE - Office Manager
STATUS -
Part-time up to 35 hours per week/
Possible full time position.
REPORTS TO -
Executive Director
GENERAL SUMMARY
Enables the efficient functioning of the Preservation Worcester office by
conducting the administrative activities of the organization, coordinating
volunteer activities, providing membership services, managing financial
tracking, overseeing management of office and parking lot rental,
coordinating organization's newsletter, and facilitating ordering of
supplies and equipment. Interfaces with the public in the office and on the
telephone. Provides support for professional staff and volunteers. Trains
office volunteers for specific duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
ADMINISTRATIVE ACTIVIES - Answers telephone, distributes mail, maintains
organization information, filing, coordinating website with website designer
and other administrative activities. Coordinates production of newsletter
in conjunction with newsletter designer.
VOLUNTEER ACTIVITIES - Recruits, schedules and trains office volunteers.
Works with organization volunteers.
MEMBERSHIP SERVICES - Maintains membership roster, prepares membership
correspondence, assists in membership recruitment, tracks membership efforts
and provides Executive Director with monthly update on membership
statistics.
FINANCIAL TRACKING - Enables data entry, billing, and payment preparation.
EVENT, MEETING AND BUILDING USE COORDINATION - Keeps a master calendar of
organization schedules including staff, volunteers, events and meetings.
MATERIAL SUPPORT - Serves as support staff for activities of the
organization such as events, fund raisers, brochure printing, maintaining
reservation lists, ordering general supplies and equipment.
BUILDING MANAGEMENT - Oversees the management of office and parking lot
rental. Assists tenants.
INTERFACE WITH THE PUBLIC - Welcomes membership and general public daily in
the office and at events.
PREPARES REPORTS TO STATE AGENCIES AND PRIVATE GRANTORS as directed by the
Executive Director.
OTHER DUTIES AS ASSIGNED by Executive Director
KNOWLEDGE AND SKILLS
* Strong word processing and data base skills - knowledge of Access,
Microsoft Word, Excel, PowerPoint, Outlook
* Superior management, organizational and coordination skills.
* Strong communication skills
* Capacity to deal positively with the general public.
* Ability to handle multiple projects and to be self-directed
* Non-profit experience and/or knowledge of architectural history and
style preferred
